Corporate Event Photo Sharing: Photos for Every Attendee

How to get conference, offsite and launch photos to every attendee the same day with a QR code and a selfie, without collecting anyone's email or phone number.

The short answer

  • At a conference or offsite, attendees scan a QR code, take a selfie and get only the photos they are in, while the event is still on.
  • Nobody's email or phone number is collected, so there is no attendee data to hand over or protect.
  • Plan for the busiest moments: keynotes, award handovers, the group photo and the evening dinner.
  • A one-day event with a few thousand photos usually fits Snaptrace's Classic plan, ₹999 for up to 5,000 photos.

Corporate event photo sharing works best when every attendee gets their own photos before they leave the venue. With a QR code and face recognition, each attendee scans a code, takes one selfie and sees only the photos they are in: their talk, their award, their team at dinner. They can post them on LinkedIn the same day, which is when the event gets the most attention.

The usual alternative is a shared drive link sent a week later, with 4,000 photos in one folder. Most people never open it.

Why it works well for corporate events

  • Attendees want their photos fast. A speaker wants their stage photo while people are still talking about the session. A sales team wants the award photo the same evening.
  • Nobody has to hand over contact details. Attendees don't give a name, email or phone number to find their photos, and the selfie is not stored. The organiser doesn't end up holding a list of attendee data just to share photos.
  • It looks organised. A QR code on the badge, the screen or the table cards tells attendees the photos are coming, and the gallery shows the photographer's studio name and contact details.
  • Photos are grouped by moment, so the keynote, the panels and the dinner are easy to tell apart.

How to run it at a conference

  1. Before the event, the photographer creates the event and prints the QR code. Snaptrace includes print templates; on the Classic plan and above, the studio's logo sits in the middle of the code.
  2. Put the QR code where people wait: the registration desk, the badge or lanyard card, the coffee area, and the screen between sessions.
  3. The photographer shoots as usual. The Camera Agent on their laptop uploads each photo as it is taken, over the venue Wi-Fi or their own phone hotspot. Several cameras can upload from one laptop.
  4. The host mentions it once from the stage, ideally just after the first keynote, when people have just been photographed.
  5. Attendees scan, take a selfie and save their photos. New photos appear in their gallery as the day goes on, without another selfie.

Moments to plan for

Moment What to do
Keynotes and panels Shoot each speaker from the front, where their face is clear. Those are the photos they will share.
Awards and handovers Get both faces turned towards the camera. Both people will look for the photo.
Group and team photos Take two or three frames. Someone always blinks.
Networking and dinner Candid photos of small groups get shared the most.
Sponsor booths Photos of visitors at the booth help sponsors show the event worked.

Multi-day events and offsites

A three-day offsite or a two-day summit is one event. Attendees take one selfie, and the gallery keeps adding new photos each day. The gallery stays open for all the event days plus 5 to 14 days after, depending on the plan, and then the photos and face data are deleted automatically. Remind attendees on the last day to download what they want.

Which plan fits

Snaptrace charges per event, by the number of photos. Attendees never pay.

  • A half-day meet or a small launch often fits the Essential plan: ₹449 for up to 2,000 photos.
  • A one-day conference with one or two photographers usually fits the Classic plan: ₹999 for up to 5,000 photos.
  • A multi-day summit with a team of photographers may need Premium (10,000 photos, ₹1,699) or Signature (20,000 photos, ₹2,999).

If the photos run out mid-event, a top-up adds more to the same event, from ₹180 for 1,000. Photographers who cover several corporate events a month can take a monthly plan, where unused photos roll over for 3 months. See pricing.

Questions people ask

How do conference attendees get their photos?

They scan the event QR code with their phone camera, agree to face matching and take a selfie. The gallery then shows only the photos they appear in, and they can download them if the photographer allows it.

Do we need to collect attendees' emails to send them photos?

No. With Snaptrace, attendees find their own photos with a selfie. No name, email or phone number is collected.

Can attendees get their photos during the event?

Yes. When the photographer uses the Camera Agent, photos usually reach the gallery within minutes of being taken, depending on the upload connection at the venue.

Does it work for a multi-day conference?

Yes. A multi-day event is one gallery. Attendees take one selfie, and new photos from each day appear in it.

Can the gallery show our brand?

The gallery and QR code carry the photographer's studio branding: the studio logo in the QR code on the Classic plan and above, and the studio's own watermark on Signature and Legacy.
